Responsibilities:
  • Receive/ensure completeness of New or Change Resource Templates (NCRT) to add a new instructor to the MSDB from the Pillar.
  • Submit Instructor Resource Requests via a Learning Admin Request System (LARS) request based on the NCRT form submitted by the Pillar.
  • Add new instructor(s) to the Master Scheduler Database (MSDB).
  • Once the new instructor(s) is in the MSDB, refer the new instructor(s) to the GLDS Wiki for instructions on access and using the MSDB.
  • Work with Delivery Focal Point (DFP) as requested (to secure instructor resources and venues) based on GLRT requests. Current state — Future MS will assigned independent of DFP?
  • Determine facilitator demand vs. capacity and send report to DBM for approval of financial outlook. The DBM should be given a view of vendor Volumes based on the gap between Demand and Instructor Availability to provide a high level view of potential cost. If approved, the MS would proceed to scheduling. Once the final, optimized, schedule is determined the DBM should calculate the pending vendor cost for future forecast / business management processes.
  • If approved for scheduling, schedule IBM facilitators and vendor facilitators based on availability to teach for key programs.
  • Manage schedule for programs. Generate weekly reports to monitor manage for optimization the facilitator demand, capacity and availability ratio to optimize IST instructor resource (for next quarter).
  • Determine facilitator availability. Add “pending for” (non-teach event) in the MSDB to secure the internal instructor’s schedule until the offering is in IBM
  • When offering from IBM feeds to the MSDB, remove the “pending for” information for that offering.
  • Work with GLDS team to ensure that IBM instructors are the first choice. When an IBM instructor becomes available to replace a contractor/vendor the instructor the payment vehicle must be cancelled by the DFP with sufficient notice to avoid a cancellation penalty.
  • Ensure IBM maintained with accurate instructor information (received from Pillar).
  • Attend backlog calls with DFPs to determine need for cancellations (due to low enrollments, etc).
Requirements:
  • Candidate must possess at least a Bachelor’s Degree in any field.
  • At least 2 year(s) of working experience in administrative work. Preferably those who has handled the scheduling of education program before which involves intructor, venue & etc.
  • Proven ability to manage multiple tasks & demonstrate flexiblity
